EXHIBITOR DESIGNATED CONTRACTOR (EDC)

You are responsible for advising Show Management of the company name, address, telephone number and contact name of your non-official designated contractor (EDC).


By definition, an Exhibitor Designated Contractor (EDC) is a company or person that the exhibitor appoints to provide services on the show floor during move-in, move-out and/or show days. These companies must meet the Show Management insurance guidelines as noted below. Some examples would be van lines, computer equipment suppliers, office equipment suppliers, companies installing and dismantling booth properties, exhibit designers, etc.

1. Beginning March 2011, register your EDC through the networkNow! Exhibitor portal. Password is the same as your Event Directory password. Go to ‘My Profile’ and click on ‘Manage EDC’.

2. Complete the relevant fields on the application form and submit via fax or mail, along with a signed copy of your Certificate of Liability Insurance by June 17, 2011.

3. The EDC Application, along with the Certificate of Liability Insurance, must be provided to Show Management by June 11, 2011. Email, fax or mail a signed copy of your Certificate of Liability Insurance to:

SEMI Show Management will contact all Exhibitors and their EDCs when the information is finalized – approximately 4 weeks prior to SEMICON West 2010 and Intersolar North America.

INSURANCE REQUIREMENTS

The EDC is required to submit copies of Certificates of Insurance for worker's compensation insurance, comprehensive general liability insurance and automobile liability insurance. Copies of the Certificates of Insurance should be submitted to Show Management by Friday, June 4. The worker's compensation and employer's liability insurance must provide a minimum limit of $100,000 and meet the requirements established by the State of California. Comprehensive general liability coverage must provide $1,000,000 combined single limit bodily injury and property damage liability. SEMI must be named additional insured as respect to general liability for SEMICON West 2011 and Intersolar North America . Automobile liability should include all owned, non-owned, and hired vehicles with limits of $1,000,000 combined single limit. Umbrella liability is acceptable to meet above minimum requirements.

The EDC agrees that it will indemnify and hold harmless Show Management and the Official General Services Contractor from any action resulting in injury or damage to persons or property caused by an act of omission, negligence or misconduct on the part of the EDC or any of its agents, servants, employees or contractors.

MOSCONE WORK PERMITS

The EDC must have the following current documents on file with Moscone Center:
- A Certificate of Insurance; and an Additional Insured Endorsement form
- A San Francisco Business License


EDC RULES AND REGULATIONS

    Ø The EDC will have a true and valid order for service from an exhibitor prior to the exposition move-in date.

    Ø EDC must abide by the fire and safety and exhibit hall regulations, along with all other prevailing rules and regulations as set forth or amended by SEMI and the General Service Contractor, Freeman.

    Ø The EDC shall complete their assigned services within the official time limits of move-in and move-out as published by Show Management.

    Ø Any property of the EDC not removed at the close of working hours is left at their own risk. Further, any such property may be moved, removed, or stored at the EDC’s expense if it is considered for any reason by Show Management and the official General Service Contract (Freeman) to interfere with any aspect of the move-in or move-out.

    Ø The EDC may not operate a service desk within the exhibit hall and must restrict corporate identity to the booth areas being serviced.

    Ø Personal carriers (bikes, golf carts, scooters, etc.) will not be permitted on the show floor without the approval of Show Management.

    Ø In the event of damage, the EDC will compensate Show Management or the official General Services Contractor (Freeman) for restoration of exhibit space to its original condition. Exhibitors are responsible for the action of their EDCs.

    Ø The EDC shall not solicit business on the show floor during move-in, show, and move-out periods. If a representative of the EDC violates this provision regarding solicitation, Show Management will deny that contractor access to the show floor.

    Failure to meet any of the above requirements will prohibit the EDC from accessing the show floor and/or servicing the EDC’s client.

TIPS FOR EDCs

    Ø Do the right thing by your exhibitor, save them money! At least 30 to 50 percent by ordering services in advance to receive the advance discounts. Ordering labor or services after the deadline or on-site is more expensive and will significantly delay the set-up of your booth or force your set-up into overtime.

    Ø Take steps to protect your product in the booth by arranging for security and/or cages.

    Ø Label empty carton and crates for storage as soon as they are ready. All cartons and crates must be marked for storage no later than 10:00am on Monday, July 11.

    Ø Do not store empty cartons inside of empty crates. Cartons are returned from storage first, so exhibitors may begin packing their products.

    Ø Keep ‘no freight aisles’ clear at all times.

    Ø Stay out of adjacent booths during set-up.

    Ø Submit outbound freight bills to the service desk in a timely manner. Holding freight bills until late in the day or turning large amounts of freight bills to the service desk at one time may delay outbound truck scheduling and force your loading into overtime.
